University Policy and Curriculum Committees

Faculty Operations Senate (FOPS) - Prez or VP-Ed on invitation only

FOPS is the "working group" for the faculty and meet monthly to discuss and iron out any issues before bringing them to FUGS. The EngSoc Prez or VP-Ed occasionally get invited to this committee to give input.

Faculty Undergraduate Studies Council (FUGS) - Prez and VP-Ed

FUGS is the intermediate approving body for academic changes in the faculty. Changes to courses (their descriptions, requisites, course codes) and curriculum come recommended by the departments where they would have been discussed in more detail. This council meets monthly to discuss changes before sending them off to EFC.

Engineering Faculty Council (EFC) - Prez

EFC is a forum where the Dean, and Associate Deans, give reports on their activities to representatives from all departments. This council also serves as an intermediate approval body for course calendar changes, before sending them to SUC. This council meets monthly, and while the president does not have voting privileges they have a permanent invitation for information and to voice student concerns.

Senate Undergraduate Council (SUC) - VP-Ed

This university level council is responsible for reviewing undergraduate policy, procedure, and curriculum changes (for all faculties) before passing them on to senate. They meet monthly to vote on and discuss these issues before passing them on to the university senate. See this link for more information about the SUC as well as agendas and minutes.

Senate - Senator

This is highest level of governance at the university where all curriculum, policy, operational, and organizational changes take place. They also have the power to establish these educational changes, while making other recommendations to the board of governors. The senate meets monthly and has student reps from each faculty as well as a few at large ones. See this link for a more in depth description of the powers of the senate. See this link for more information including agendas and minutes from the meetings.

Coop Committees and Councils

Cooperative Education Council (CEC) - VP-Ed

This inter-faculty council serves an advisory role to Co-op and Career Services. It meets monthly to share information about various co-op initiatives with Waterloo, as well as practices at other universities. It also serves as a sounding board and brainstorming venue for improvement initiatives to CECS.

Engineering Coop Working Group (CWG) - VP-Ed + Coop Rep

A small group of Engineering Faculty members and CECS representatives, along with the VP Ed and Co-op rep, meet monthly to discuss issues related to engineering co-op. New proposals and initiatives are developed and forwarded to CEC for discussion and ultimately CECS for implementation.

FEDS Coop Students Council (CSC) - VP-Ed + Coop Rep

This is an opportunity for students from each faculty to meet with the executive of CECS and bring up issues from students as well as receive updates from CECS to disseminate to the student body. It may also brainstorm new proposals to improve Co-op at Waterloo. The council is chaired by the VP Education of FEDS and will meet as regularly as necessary (usually 3 times per term).

Professional Development Committees

WatPD-Engineering Curriculum Committee (CC) - VP-Ed + PD Rep

The WatPD-Engineering Curriculum Committee meets at least biweekly to provide oversight to PD20, PD21 and the proposed Engineering-oriented PD electives. It has a role in design criteria, selection of the development team and feedback on the development process, it also serves as a body to oversee the WatPD Engineering program.

Committees Dealing with Students Appeals Regarding Academic Discipline

Examination and Promotions (E&P) - Prez

This committee rules on all student petitions submitted to the Faculty of Engineering. In a nut shell, a student may petition an academic decision if they feel that the academic rules should be bent for them to accommodate some sort of extenuating circumstance. They meet twice every term, and in each meeting the President is the student representative. For details regarding the petition process (and its separation from the appeals process), academic regulations, and academic standings, please refer to the Faculty of Engineering Examinations and Promotions section of the Undergraduate Calendar.

Faculty Committee for Student Appeals (FCSA) - Prez

When a student appeals an academic decision because they feel they were not treated fairly, a tribunal is formed to hear their case. The tribunal consists of three voting members – a faculty representative, a student representative, and the FCSA chair. The default student representative is the Engineering Society President, but there are cases where that role must be passed onto another executive. This committee meets as needed.

Other

FEDS Committee of Presidents (COPs) - Prez

These meetings are arranged by the Federation of Students.  The meetings are intended to provide a forum for the Presidents of the various student societies on campus to exchange ideas, plans, and problems and to cooperate in events. These meetings usually happen monthly.

FEDS Student Council (FEDS) - Prez + Engineering Councillors

The president is a non-voting member of the FEDS Council (the same one attended by Engineering Councillors). These meetings happen monthly, and most of the operational matters of FEDS are discussed here. You can find more information here, and you can find meeting minutes here.

WEEF Board of Directors (WEEF BOD) - Prez

The Board of Directors has no authority to initiate expenditures, except those that may be necessary for the administration of the Foundation. The board serves mainly as an advisory body to the funding council. Funding Council has sole authority to propose non-administrative expenditures, subject to approval by the board. WEEF Board of Directors usually meets once per term, near the end of lectures.

Sanford Flemming Foundation Board of Directors (SFF) - Prez

SFF is an organization devoted to fostering a rich academic environment for engineering students in Canada. The President is an ex-officio member of the SFF board for the uWaterloo chapter. There is one meeting per term plus the Annual General Meeting (AGM) in Fall term. To learn more about SFF at Waterloo, visit their website.

Iron Warrior Advisory Board (IWAB) - VPI or Prez + Students at Large

The advisory board meets (at least) at the beginning and end of every term to discuss plans, budget, and future plans and initiatives for the IW. This is also the body that chooses the future EIC each term. Both societies sit on the advisory board at the same time and it's membership is composed of: Current EIC, Incomming EIC, Society A Exec Rep, Society B Exec Rep, Student-At-Large A, Student-At-Large B. For more information about the IWAB see the IW Policy manual, which can be found here.
